Description

The WIC Program Assistant provides a broad range of support to the Women, Infant and Children Program (WIC). This position is responsible for providing front line customer service for clients and administrative/clerical support to the program. This person must do all activities in accordance with state and federal guidelines.

Qualifications

Education and Experience: Minimally a high school diploma or GED. Minimum 2yrs experience; previous WIC experience preferred. Must complete the following courses and obtain certifications within three years of hire: 1) Nevada State WIC Certified Professional Authority course, exam and certificate, 2) Office Laboratory Assistant training and certificate and 3) Certified Lactation Educator course and certificate. Excellent written and verbal communication skills. Experience with statistical reporting. Demonstrated proficiency in computer applications to include Word, Excel, and Access or equivalent. Bilingual (Spanish/English) required.

Role: Responsible for providing WIC services and the smooth operation of all aspects of administrative support.

Daily Operation

Incorporates AIDET into every client interaction (Acknowledge, Introduce, Duration, Education, Thank).

Answers and screen telephone calls for the WIC program. Routes all calls appropriately, making and following up on referrals when necessary.

Implements state and federal eligibility requirements for participation in the WIC program. Including calculating income, confirming residency, verifying identity and determining categorical eligibility.

Manages all general client issues and complaints. Proactively handles situations that arise, as appropriate

Establishes and maintains efficient record-keeping and filing systems. Classifies sorts and files transfers, postcards, records and other documents in timely manner

Using critical thinking skills, maintains and accurate database for program. Works with Nutrition Program Manager to update the database as necessary to keep current and efficient.

Schedules client appointments in accordance with scheduling guidelines to ensure optimal efficiency and customer service.

Periodically reviews clients charts to ensure all necessary appointments are made and staged benefits are scheduled.

Works with staff to maintain supply inventories orders and stocks supplies and ensures office equipment is in good working order and office environment promotes productivity.

Ensures each WIC clinic has appropriate files and/or paperwork to be productive.

Maintains email correspondence in timely manner.

Maintains State and local logs including application list, transfer requests, Taxi/bus vouchers, separation of duties, breast pumps and others as assigned.

Oversees coordination of Cribs for Kids program including maintenance of crib inventory, statistical reporting and scheduling of crib classes.

Creates and coordinates client transfer system to ensure that transfer-out requests are completed within 48 hours and transfer-in requests are sent out as soon as possible.

Nutrition Education and Breastfeeding Support

Maintains current knowledge on general nutrition and breastfeeding guidelines as specified by the State of Nevada, the Federal WIC program and other reputable sources.

Incorporates behavioral change methodology into all nutrition education contacts including, but not limited to, Nevada WIC CARES and participant centered services (PCS).

Teaches a variety of nutrition education classes from curriculum provided from the State of Nevada, WIC Nutritionist, WIC Breastfeeding Coordinator or WIC Manager.

Encourages breastfeeding by promoting it as the optimal nutrition source for infants and by providing mothers with the necessary tools for success.

Professional Competence

Obtains Office Laboratory Assistance (OLA) License within 1-year of hire.

Passes the Nevada State WIC Competent Professional Authority (CPA) exam within 2-years of hire.

Becomes a Certified Lactation Educator (CLE) within 3-years of hire.

Utilizes knowledge of State of Nevada WIC policies and procedures in performing all work duties.

Works as part of the WIC team to continually improve the quality of services provided.

Utilizes WIC CPA knowledge and skills in performing anthropometrics, certifying WIC clients and providing nutrition and/or breastfeeding education.

Utilizes knowledge of CHA policy and procedures, HIPAA, OSHA and other regulatory agencies in performing all duties in work setting.

Utilizes resources as needed to meet needs of the organization and client.

Patient Relationships/Quality of Service/Customer Service

Courteous, respectful and creates safe, clean environment for clients and staff.

Ensures confidentiality of information.

Sets the example of exemplary customer service for both internal and external customers.

Productivity

Diligently works with co-workers to ensure client flow is efficient and productive.

Utilizes good time management skills to ensure all facets of client care and WIC Program Assistant duties are completed in a timely manner.

Accuracy/Efficiency

Double checks work to ensure accurate data entry and completion of on-line chart from start to finish.

Schedules next appointment and/or staging date to ensure no lapse in benefits.

Reliability

Dependable and punctual attendance.

Flexible - willing to work at a different WIC site on short notice.

Consistently meets deadlines related to projects, regulatory requirements and Community Health Alliance/WIC policies.

Ensures reports, time sheets, etc are accurate and submitted on time.

Consciously follows through on requests and instructions in a timely manner.

Represents Community Health Alliance in a positive, professional manner effectively communicating the vision and mission of the Community Health Alliance WIC program to the community.

Performs other duties as assigned.

Maintain confidentiality of records and information in accordance with HIPPA and Community Health Alliance (CHA) corporate policy.
