Position Purpose

The Smart Square System Administrator is responsible for effective provisioning, installation, configuration, operation, and maintenance of assigned application software. This individual provides ongoing software support for all end-users. They coordinate project management of new and changed software functionality releases, conduct testing for all configuration changes, perform research and ongoing configuration activities, and create custom reporting, as needed. Participates in technical research and development to enable continuing innovation within the organization. This individual ensures that system software, and related procedures adhere to organizational values and policies.

Nature and Scope

The Smart Square System Administrator encompasses the job duties of a System Administrator, Project Manager, Application Specialist, Customer Support Specialist, Security Administrator, Backup DBA, Educator and Customer Liaison. The System Administrator will coordinate system enhancements, system update programs, will provide necessary education and assist with testing and implementation. This position partners with organizational leaders, Human Resources, Payroll, Finance and Information Systems to insure that the department systems are compatible and operating in harmony with the multiple systems interfaced and feeding date to the Smart Square resource management system. This will include productive and effective interaction with Leadership, Smart Square departments/units, Central Staffing Services, Float Pool, team members and Information Systems analysts, as well as the executive team. This position will also establish and direct the use of program specifications and standards, insuring system security, data integrity and efficient use of Smart Square.

The Smart Square System Administrator is the departmental expert on application support as well as troubleshooting problems and issues that occur with daily operations. They must maintain work flow analysis, identify areas where improved processes will enhance department operations and develop modification to processes and any related configuration necessary. This position must be able to identify needs and requirements, assist with writing department policy and procedures, provide support to end users and follow up with procedural issues.

The Smart Square System Administrator provides individual as well as classroom education for new and existing users. This position supports the user community by addressing help desk calls related to the assigned application. The Smart Square System Administrator will be the conduit for submission of Work Requests applicable to the assigned application(s) and will facilitate a timely response to the requestor advising them regarding: work scheduling; technical feasibility; technology compatibility; integration and interfacing.

The Smart Square System Administrator has the responsibility for the planning, coordination, facilitation, oversight and finalization of the allocation of the Smart Square labor resources. This individual has the responsibility and accountability for this system with a goal to increase efficiency and utilization of labor resources, cost effective scheduling, positive impact on patient outcomes, staffing ratio and deployment of team members through a centralized system approach.

Minimum Qualifications

Requirements - Required and/or Preferred




Must have working-level knowledge of the English language, including reading, writing and speaking English. Requires a bachelors degree in Healthcare, Business Administration or Information Systems/Computer Science. Finance and/or Information Systems experience may substitute for required education on a year for year basis.


Minimum three years experience of progressively responsibility experience in a technical and/ or business related field and three years in a healthcare environment. Demonstrated performance of project management is preferred





Computer / Typing:

Must be proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel and Word and have the ability to become proficient in the use of specialized computer software programs.
