University of Nevada, Reno School of Medicine is recruiting for an
Administrative Assistant 3 to provide executive support to the
Associate Dean of Medical Education. This position provides the
exciting opportunity to contribute to the fast-paced, dynamic,
professional environment surrounding the curricular operations of
the M.D. program. Interfacing with associate deans, faculty, and
staff, job duties include but are not limited to:
- Manage the leader's calendar to schedule appointments and
engagements; Timely response required within 48 business hours to
meeting requests
- Maintain current knowledge of issues, problems, situations and
activities of special interest to the leader regarding the
organization and its programs
- Maintain professionalism in a fast-paced, often changing daily
schedule, and lead all interactions (in person, email, virtual
meetings) with professionalism and understanding you represent the
unit and the expectations of professionalism in the MD program
- Resolve administrative questions and issues not requiring the
personal attention of the leader; act in an administrative liaison
capacity in conferring with managers and representatives of other
schools and organizations
- Ensure agendas, background information, minutes and other
pertinent materials are prepared and distributed; maintain official
minutes and records of assigned meetings
- Manage assigned budget(s) and plan, coordinate annual budget
preparation, provide regular reports to the Associate Dean
- Purchase supplies; complete account reconciliation and
accounting processes in specified timeframes
- Conduct research and provide information, reports and
recommendations
- Plan and organize events including sourcing locations,
catering, teleconferencing, and other amenities and supplies and
document organization. Examples include employee retreats, special
educational sessions, and high-stakes accreditation preparation
meetings.
- Make travel arrangements for Associate Dean, guest speakers,
and othersRequired QualificationsGraduation from high school or
equivalent education and three years of progressively responsible
relevant work experience which included experience in one or more
of the following areas: maintenance of complex records and files;
public/customer relations including explaining detailed policies,
regulations and requirements; preparation and processing of
financial and statistical documents such as payroll, travel, claims
and budgeting forms; and assisting staff and management with
projects and activities; OR one year of experience as an
Administrative Assistant II in Nevada State service; OR an
equivalent combination of education and experience as described
above.ScheduleThe typical work schedule is Monday through Friday
from 8:00 am to 5:00 pm; this is subject to change based on
organizational needs.Compensation GradeGrade 27 (Entry, Step 01
$17.80/hr - Step 04 $20.11/hr)In classified service, salary is in
Grade and Step. The Step is determined based on the Nevada
Administrative Code. Salary placement above a Step 01 at initial
appointment is determined based on the recruitment, the candidate's
qualifications, internal equity and budgets. A request to
